  • Primary Function: The Payroll and Benefits Specialist is responsible for supporting the University and its employees by providing payroll, benefits and human resource services. Responsibilities will include the processing and administration of biweekly payroll, reviewing new hire benefits enrollment and supporting records management related to employee benefits and payroll.



    Duties and Responsibilities:



    Payroll Processing

    Primary processor of biweekly payrolls using ADP.
    Supports the Payroll Analyst with monthly payroll processing using ADP.
    Reviews biweekly and monthly payrolls for accuracy and corrects errors in pay and deductions.
    Verifies hours worked, pay adjustments, and benefits deductions in payroll preview reports.
    Researches discrepancies of payroll information and/or documentation (e.g. time sheets, leave time, salary, supplements, longevity pay, stipends, FMLA, etc.) for the purpose of ensuring accuracy and adherence to procedures prior to processing.
    Responsible for all time and attendance functions relevant to payroll processing, including working with managers to clear exceptions (missing punches, etc.), ensuring that all timecards are approved, and reviewing and preparing time card data for import and inclusion on biweekly paychecks.
    Ensures ADP has accurate information for the reparation of employee wage summaries, taxes, deductions, leaves, retirement contributions, and benefits.
    Responds to and processes employee Garnishment Orders.
    Calculates, processes, and distributes manual checks.
    Maintains pay authorization documents and other payroll records.
    Examines and verifies payroll documents for accuracy, authority, completeness, and legal compliance.
    Ensures payroll records are maintained securely and in compliance with record retention policies and legal requirements.


    Benefits Administration

    Assists with University benefits administration and ADP entries.
    Runs 403b reports and key 403b contribution election changes and status flags in ADP.
    Process invoices for Benefit Vendors.
    Reviews new hire benefits enrollment and employee qualifying life events in ADP system.
    Supports annual open enrollment efforts.
    Supports periodic wellness and benefit events.
    General HR Duties

    Supports payroll and benefits practices that occur in compliance with federal, state, and local laws and regulations in numerous jurisdictions.
    Supports efforts for continual efficiency and improvements in payroll and benefits.
    Assists with University-wide support on payroll and benefits-related issues.
    Supports the research and answering of employee questions regarding payroll and benefits.
    Collaborates with multiple departments on payroll and benefits-related functions.
    Assists with providing supporting documentation and/or information on internal processes that are required for audit.
    Compiles reports for department and customer reporting metrics.
    Supports employee file management and records.


    Marginal Duties:

    Performs other duties as assigned by HR Team Leads.


    Qualifications:

    Associate's degree in Human Resources, or related field or equivalent experience.
    Minimum of two (2) years of payroll/benefits experience or demonstrated track record.
    Minimum of two (2) years of Human Resources experience preferred.
    Previous experience using payroll systems. ADP Payroll for Workforce Now experience, preferred.
    Excellent oral and written communication and analytical skills required.
    Ability to work under time constraints and meet daily, weekly and monthly deadlines.
    General knowledge of benefits administration (retirement plan deduction rules (403(b), medical, dental, vision, etc.) as it relates to payroll processing.
    High attention to detail and excellent organizational skills.
    Intermediate proficiency in Microsoft Excel.
    Ability to deal sensitively and confidentially with all payroll data.
    Decision-making, problem-solving, and analytical skills.
    Organizational, multi-tasking, and prioritizing skills.
    Flexibility and adaptability.
    Customer service-oriented mindset, professionalism, and strong collaboration skills.
